From Tuesday 30 September at 09:00 exhibitors will be able to place additional orders at the Operations desk in the Exhibitor Lounge.
Orders will be subject to availability of stock and technical possibility of the service and must be paid for on receipt of the invoice, which will be sent to the e-mail address in the usual way.
The furniture models may be substituted for others of similar characteristics depending on stock availability.
The furniture as well as any contracted elements and any pre-decorated stand items are on a rental basis; therefore the exhibitors can’t keep the elements must be returned in the same condition as they were delivered.
The organisation does not have materials such as ladders, double-sided tapes, tools, paint, etc…
There is a Saltoki shop on the IFEMA site but we cannot guarantee its stock.
The socket integrated in the single-phase panel is 500 W, enough to connect one or two devices (mobile phone, laptop…).
It is always advisable for exhibitors to contract additional sockets to distribute the power of the switchboard according to their needs.
The KWs provided with the participation cover the basic lighting service and the single-phase socket.
Calculate the power that the exhibition elements integrate and remember that to the additional electrical distribution board you must add the consumption for the elements (extra KWs of consumption).
The general lighting panel is located by law between 100 and 180cm high from the ground, duly fixed to the structure.
If you need more power than that assigned to your stand, you have to order the electrical box that covers that power and the extra KWs as the box does not include them.
The 5 Kws boxes or less are single-phase. Those with a power of 10 Kws or more are three-phase.
Under no circumstances will three-phase sockets be connected to single-phase electrical box. If you need single-phase sockets on your three-phase box, you must let us know in advance.
It is madatory to confirm the need for an electrical box with special sockets; the price of these may vary from the catalogue.
It is compulsory to use an electrical box ordered with EASYFAIRS for the connection to the hall’s electrical network.
Further information on the electricity selection process (electrical box + power) can be found in this document.
The technical plan must included the following elements:
- Location of contracted sockets.
- Location of services such as air, water or drainage outlets.
- Location of storage rooms.
It is not necessary to include elements that are easy to handle such as counters or tables.
You can find the technical plan and more details on how to complete it in this document.
If it is not duly completed in due time and form, it will not be possible to ensure that the elements can be located in the right place.
The additional graphics order includes the printing, placement and removal of the graphics. You must send the design to operaciones@easyfairs.com before september 3rd. You may found further detail about the format and layout of the files in this document.
We offer you the option of hiring the design service for the file or any other available graphic. You may ask for a quotation to operaciones@easyfairs.com.
If the graphics order is managed by Easyfairs, they will be installed on the day of access for exhibitors to assembly.
The graphic files must be sent in due time and form to guarantee not only a satisfactory installation but also that in case of any problem there is enough time to be able to provide a solution.
It will not be possible to recover the vinyls once the event is over, since, as the name suggests, they are a vinyl stuck to the melamine panel.
It is not easy to recover the FOAM and it is not guaranteed in any case that you will be able to remove it without damaging it, as the FOAM sheets are stuck to the panels with a strip of double-sided tape. In no case does the organisation take care of this task.
The assembly starts on 30 September at 9:00 a.m. until 7:00 p.m..

You can request priority access for exhibits or machinery requiring loading/unloading with special logistical or technical means.
You must send us this completed document with basic information on the means required for the final positioning of the stand, the dimensions of the packaging used and the complex technical requirements for assembly.
The authorisation for the positioning of machinery and/or exhibition material is exclusively for the positioning of the materials on the stand. It does not imply authorisation for calibrations or functional checks, as the stand will not be lit until the official start of assembly.
The plastic of the carpet is removed the night before the inauguration by FIRA cleaning staff when they carry out the general cleaning.
The keys to the storerooms and furniture are attached to or inside the storerooms and furniture. In the event that exhibitors have left these keys at the hotel/home, the storage room or counter will be opened without being locked again and no other keys will be provided.
Under no circumstances are exhibitors permitted to attempt to open a locked cabinet or storage room without the appropriate key. Any damage resulting from attempting to force the lock or door will be the responsibility of the exhibitor who will also be liable for the cost of repair.
The organisation does not have storage space inside the hall. All the companies’ material will have to be stored in their stands or else contract the storage service with the company operating on the site. Contact details can be found in the operations manual.
Exhibitors must manage the storage of pallets and empty packaging directly with RESA EXPOLOGISTICS, which has storage space inside the exhibition centre as an official supplier of FIRA BARCELONA. You can find the contact details in the operations manual.
The exhibitor or representatives must leave the stand material duly packed and labelled inside the stand for collection the following day by their contracted logistics company.
The Organisation accepts no responsibility for any loss or damage to goods that do not meet these requirements. Goods not collected after the dismantling period will be removed and stored by the official FIRA logistics company at the corresponding cost, or discarded with the rest of the waste at a cost of 120 €/m2 of the total exhibition space.
The cleaning included in the stand contract refers to the removal of the protective plastic prior to the inauguration and the cleaning of the stand on the night of the event.
Cleaning does not include the emptying of litter bins or the cleaning of liquids or rubbish that may fall on the floor of the stand during the event.
You can hire an additional cleaning service for the event or a first cleaning service if necessary. Write to us at operaciones@easyfairs.com to ask for a quote.
Dismantling begins at the end of the second day of the event, once the pavilion is empty of visitors.
The gates for accessing packaging and/or empty pallets will be opened once the carpet removal is complete.
The organizers DO NOT RECOMMEND loading items such as pallets or machinery directly onto trucks on this first day of dismantling, as we cannot guarantee that access to the venue will not be congested.
We recommend leaving stand materials, packaging, documents, etc., collected, packed, and properly labeled with the company name. Under no circumstances should items be left inside the furniture contracted with the organizers, as they will be removed during the first day of setup. Any items left inside the furniture will be discarded.
Any items found outside the stands when dismantling is completed on October 2nd will be considered waste by the cleaning services and will be discarded.
Exhibit items that have been granted priority access due to their volume or complex logistical requirements will be removed from the pavilion on October 3rd at approximately 3:00 PM.
Any other materials found in the pavilion after this time will be stored by FIRA at the appropriate cost.
Vehicle access to the hall is not permitted. Loading and unloading of material must be done in the docks between halls and in compliance with the forklift and pallet truck access regulations in the exhibitor’s manual.
Anyone entering the Fira site during the assembly and dismantling days must have registered to obtain their ‘ASSEMBLER PASS’ through the registration link that we will provide you with. On the website you will be directed to, you must enter the specific details of the people who will be carrying out any activity during those days. The pass will be used for assembly and dismantling.
FIRA staff will ask for this pass with a QR code at the entrance to the site during both assembly and dismantling.
In the event of any incident or loss of this pass, you must contact FIRA Barcelona directly. Easyfairs has no authority to resolve any incident in this regard.
You only need to redeem your ticket once at the exhibition counter, where you will be given a Smart Badge.
With this badge you will be able to enter the fair on both days.
If it is the registration email with the ticket, this is no problem as it remains in our system for printing the Smart Badge.
If it is the Smart Badge that has been lost, it is not possible to reprint it.
If it is the rigger’s pass, you must contact FIRA Barcelona.
Registration will be at the ‘jellyfish’ entrance to the halls.
The registration desk will be accessible on both days of the event from 9:00 to 17:30.
Anyone with access to the fair during the event (exhibitors, visitors, guests, speakers, etc.) must wear their badge (or Smart Badge).
To do so, they must be registered online in advance and go to the registration desk to collect their badge.
One person at the stand can collect badges from all their colleagues but will be responsible for them as they cannot be reprinted.
